LUXCAR – CHAUFFEUR SERVICE BOOKING TERMS
Valid from 13 October 2026
This is an English translation of the Finnish original (Kuljetuspalvelun varausehdot, Version 2), which prevails in case of interpretation differences and is available on request from [email protected].
1. General
These booking terms apply to the private passenger and chauffeur transport services offered by LuxCar and provided with a chauffeur.
The service is planned according to the customer's needs and may be provided with LuxCar's own vehicle or with the vehicle and chauffeur of an approved partner used by LuxCar.
These terms apply to both consumer and business customers. A person making a booking on behalf of a business customer is responsible for having the authority to make the booking on behalf of that company. If it later transpires that no such authority existed, this person is personally liable for the booking and its terms.
2. Booking and formation of the contract
A booking is made when LuxCar has accepted the customer's order, delivered the booking confirmation and any agreed advance payment has been made.
The booking confirmation states the essential details of the service, such as the service days, service period, pick-up location, agreed area of use or itinerary, number of passengers, vehicle or vehicle class, and price.
The booking confirmation and the related personal quotation, together with these terms, form the contract between the customer and LuxCar.
A booking may not be transferred to another person or company without LuxCar's prior approval. The customer may, however, make a booking on behalf of another person or party, in which case the actual passengers of the service are stated in the booking. If it later transpires that no such authority to make a booking on behalf of another existed, the person who made the booking is personally liable for the booking and its terms.
3. Price and payment
LuxCar's chauffeur service is, as a rule, sold as a personally tailored all-inclusive service for which the customer is quoted one agreed total price.
Pricing may be based on a daily rate (€/day), but the price quoted to the customer may be a single fixed total price for the whole journey or service package.
As a rule, the total price includes the vehicle, a professional chauffeur, the agreed service period and area of use, and the ordinary costs of providing the service, such as fuel and parking, unless otherwise stated in the booking confirmation.
Special or exceptional costs, such as ferry, toll, border-crossing, chauffeur accommodation or other similar costs, may be included in the personal total quotation made to the customer.
As a rule, the customer pays one total price stated in the booking confirmation. The payment schedule is stated in the booking confirmation.
The booking is confirmed when the agreed payment or the first instalment has been received. If the booking confirmation requires the full payment to be made in advance, LuxCar is not obliged to begin the service before the payment has been received.
4. Service period and the chauffeur's rest periods
A service day means the service day and service period stated in the booking confirmation, and not automatically 24 consecutive hours.
The chauffeur is at the customer's disposal within the agreed service period and area of use.
The chauffeur is entitled to all breaks and rest periods required by applicable legislation. A schedule, route or other request desired by the customer cannot override road safety or the requirements concerning the chauffeur's working and rest times.
5. Pick-up, waiting time and airport transfers
The customer must be ready to depart at the agreed pick-up time.
For a standard pick-up, the service includes, as a rule, 30 minutes of waiting time. At an airport, the service includes, as a rule, 60 minutes of waiting time from the actual landing of the flight.
If the customer provides the flight number, LuxCar monitors the flight schedule where possible and reasonably adjusts the pick-up time to any delay.
Airport and other pick-ups may be carried out as a Meet & Greet service. In that case, the exact meeting point and any special instructions may be stated in the booking confirmation or in the instructions provided to the customer.
Waiting beyond the standard waiting time may be arranged subject to the chauffeur's availability, and it may be charged as an additional fee or included in the customer's personal total price.
If the customer does not arrive at the agreed pick-up location and LuxCar cannot reach the customer within one hour of the agreed pick-up time, this constitutes a no-show. In that case, LuxCar may cancel the transfer or booking in question, the agreed price remains payable, and the customer is not entitled to a refund for the unused service, unless mandatory legislation provides otherwise.
6. Information provided by the customer
The customer is responsible for ensuring that the information provided to LuxCar that is essential for providing the service is correct and up to date.
This includes, for example, the customer's contact details, the number of passengers, the amount of luggage, the pick-up location, the destination, flight or train details, and other special needs affecting the provision of the service, such as children who require a child safety seat.
If incorrect or incomplete information causes the service to change, be delayed or incur additional costs, LuxCar will primarily seek to resolve the situation with the customer and may, where necessary, re-price a material change.
7. Passengers, luggage and transporting children
The customer must state the number of passengers and, where relevant, the amount of luggage before the booking is confirmed.
No more than the permitted number of persons and amount of luggage may be carried in the vehicle.
Child seats and booster seats can be arranged on request and subject to availability. The customer must state the children's ages and the type of seat required in advance. The chauffeur has the right to refuse to begin the journey if the required child safety seats have not been notified. If child safety seats required by mandatory legislation cannot be arranged for such a reason attributable to the customer, the no-show terms set out in section 5 apply to the situation.
If the number of passengers or the amount of luggage differs materially from what was stated in the booking, LuxCar cannot guarantee the suitability of the original vehicle.
8. Pets
The transport of pets must be agreed with LuxCar in advance.
Pets must be transported in an appropriate carrier or in another safe manner approved by LuxCar in advance, so that the safety of the animal and the vehicle can be ensured.
The customer is liable for damage caused by a pet and for cleaning costs beyond normal use, to the extent that charging them is permitted by law.
9. Vehicle and chauffeur
LuxCar aims to provide the service with the vehicle stated in the booking confirmation.
If the original vehicle or chauffeur cannot be used, for example due to a technical fault, an accident, illness, a safety reason or another event beyond LuxCar's control, LuxCar may use an equivalent or otherwise suitable replacement vehicle and/or chauffeur.
In such cases, LuxCar aims to arrange a service for the customer that is as equivalent as possible.
The chauffeur's name and contact details and, where necessary, the vehicle details may be provided to the customer before the service begins.
The customer cannot require a particular chauffeur unless a particular chauffeur has been expressly agreed in the booking confirmation.
10. Route, area of use and changes to the service
The service is provided in accordance with the area of use, route and service content agreed in the booking confirmation.
Reasonable changes to the route and stops can be made without additional charge if they remain within the agreed service period and area of use and do not materially change the content of the service. The chauffeur may agree such changes directly with the customer.
If the customer wishes to materially extend the service period, expand the area of use, materially change the itinerary or otherwise change the service in a way that deviates from the original booking, the change requires LuxCar's prior approval and may be re-priced.
Material changes and their price are agreed by LuxCar. The chauffeur is not entitled to agree material changes or their pricing on LuxCar's behalf unless LuxCar has separately authorised the chauffeur to do so. The customer may submit a change request through the chauffeur, in which case the chauffeur forwards the request to LuxCar.
The customer cannot unilaterally assume that the service will continue after the original service period.
11. Extending the service period and ending the service early
Extending the service period requires LuxCar's approval and depends on the availability of the vehicle and the chauffeur.
A separately agreed additional charge may be made for an extension. The price of the additional service may differ from the daily or hourly rate of the original booking.
If the customer ends the service before the end time agreed in the booking confirmation, the agreed price remains, as a rule, payable and the unused service period is not refunded, unless otherwise agreed in the booking confirmation or mandatory legislation provides otherwise.
12. Multi-day services and chauffeur accommodation
For services lasting more than one day, the chauffeur's necessary accommodation, travel and other reasonable costs related to providing the service are, as a rule, taken into account in the personal total quotation made to the customer.
If changes requested by the customer give rise to new costs that could not reasonably have been taken into account in the original quotation, they are agreed with the customer before the costs are incurred.
LuxCar is not obliged to arrange the service in a manner that breaches the regulations on the chauffeur's working or rest time. Such a refusal cannot be treated as a breach of contract.
13. Concierge service and special requests
LuxCar aims, where possible, to fulfil the customer's reasonable special requests related to the service, such as additional stops, collection of items and other arrangements related to the itinerary.
Special requests are fulfilled within the limits allowed by the chauffeur, road safety, the schedule and the time available.
If a request exceeds the agreed service package, LuxCar may charge a separately agreed additional fee for it.
14. Safety and the chauffeur's rights
The chauffeur is responsible for driving the vehicle safely.
A schedule, route or other service request made by the customer does not entitle the chauffeur to break traffic rules, exceed a safe speed or otherwise endanger road safety.
The chauffeur has the right to refuse transport or to interrupt the service if the customer:
- endangers the safety of the chauffeur, other passengers or traffic;
- behaves in a threatening or violent manner;
- is intoxicated to such a degree that safe transport cannot be ensured;
- damages or threatens to damage the vehicle; or
- repeatedly demands that the chauffeur act unlawfully or contrary to safety regulations.
If the service is interrupted for a material safety or behavioural reason attributable to the customer, the agreed service fee remains, as a rule, payable and the customer is liable for the costs they have caused, to the extent the law permits charging them.
15. Alcohol and intoxicants
Consumption of alcohol in the vehicle may be permitted with LuxCar's prior consent, provided that it complies with the law and safety requirements.
In that case, the customer must ensure that the vehicle, its interior and equipment are not damaged and that the chauffeur's work is not disturbed.
The possession, transport or use of unlawful substances or items in the vehicle is prohibited.
16. Use of the vehicle and smoking
Smoking and vaping are prohibited in the vehicle.
Passengers must use the vehicle and its equipment appropriately.
The customer is liable for additional cleaning or damage costs caused by the passengers.
17. Luggage and personal property
The customer is responsible for their own personal belongings and luggage.
Before leaving the vehicle, the customer must check that they have not left any belongings in the vehicle.
LuxCar makes reasonable efforts to return found items. Any reasonable delivery or transport costs arising from returning an item are borne by the customer. LuxCar is not obliged to deliver items until the costs of their delivery have been reimbursed.
LuxCar is not liable for the loss of or damage to personal property, unless the liability is based on a neglect for which LuxCar is responsible.
18. Cancellations and changes to a booking
The customer may cancel or request a change to a booking in accordance with the terms stated in the booking confirmation.
Unless otherwise agreed in the booking confirmation, the following applies:
- 7 days or more before the service: refund less a €15 cancellation fee;
- 3–6 days before the service: 50 % refund;
- 2 days before the service: 25 % refund;
- 0–1 days before the service: no refund.
Specially tailored, multi-day or otherwise exceptionally arranged services may be subject to the special cancellation terms stated in the booking confirmation.
19. Changes made by LuxCar and force majeure
LuxCar always aims to provide the confirmed service with the agreed vehicle and chauffeur.
If providing the service in its original form is prevented, for example by a technical fault, an accident, the chauffeur's illness, weather conditions, an order of the authorities, a safety reason or another event beyond LuxCar's control, LuxCar may use a replacement vehicle or chauffeur or change the manner in which the service is provided.
In such cases, LuxCar aims to arrange a service for the customer that is as equivalent as possible.
If the service cannot be provided at all, the customer is refunded the payment corresponding to the unused service to the extent required by applicable legislation.
20. Delays and onward connections
LuxCar aims to keep to the agreed schedule.
Traffic, weather conditions, road conditions, accidents, orders of the authorities and other events beyond LuxCar's control may cause delays.
The customer must allow sufficient time for flights, trains or other onward connections.
LuxCar does not guarantee that a particular onward connection will be reached, unless this has been separately agreed in writing.
21. Confidentiality
LuxCar treats information concerning the customer's journey, schedules, destinations, personal data and other information obtained in connection with the service as confidential.
Information is not disclosed to third parties other than for providing the service, collecting a disputed receivable, ensuring safety, fulfilling statutory obligations or another purpose permitted by law.
22. Personal data and vehicle tracking
LuxCar processes personal data in order to arrange the service, manage bookings, provide customer service, ensure safety and fulfil statutory obligations.
The vehicles used in the service may use GPS tracking and other systems that support the safety, use and maintenance of the vehicle and the provision of the service.
Data is processed in accordance with applicable data protection legislation and LuxCar's privacy notice.
23. Complaints and dispute resolution
Any complaint must be made to LuxCar in writing as soon as possible after the end of the service.
LuxCar primarily seeks to resolve any disagreements amicably.
If the matter cannot be resolved through negotiation, the dispute is resolved under Finnish law in a competent court.
These terms do not limit a consumer customer's statutory rights to consumer advice, the Consumer Disputes Board or another competent dispute resolution body.
24. Liability and limitation of liability
LuxCar is liable for the service in accordance with applicable legislation.
LuxCar is not liable for indirect or consequential loss or damage to the extent that limiting liability is permitted by law.
25. Applicable law and validity of the terms
These terms and LuxCar's chauffeur services are governed by Finnish law.
In the event of a conflict between these terms and mandatory legislation, the mandatory legislation applies.
If any provision of these terms is found to be invalid or unreasonable, the remaining terms continue in force. An invalid or unreasonable provision is applied only to the extent permitted by law.
